What this service covers
Most universities already have an AI policy. Far fewer have a way of getting it in front of staff in a form anyone will sit through.
This service closes that gap. We build a single asynchronous course that carries your branding, references your own policies by name, and uses examples drawn from the work your staff actually do. You receive it as a SCORM or xAPI package, load it into your existing LMS, and it looks and behaves like something your institution made.
Your course is built around:
- your visual identity, including colours, fonts, and logo
- your AI policy, acceptable use guidance, and data protection position
- the tools your staff are licensed to use, whether that is Copilot, Gemini, ChatGPT, or a combination
- the roles and workflows that matter most to you
We are an HE-specialist training provider, not a course factory. The content that goes into your course is the same content we teach live in universities, adapted for self-access and grounded in your institutional context rather than a generic one.

No VAT is charged. WorkSmart-AI is not VAT registered, so £4,995 is the total you are invoiced.
That price is deliberate. Most universities require a competitive tender above £5,000, which turns a straightforward purchase into a process measured in months. At £4,995 the decision usually sits with the department, the directorate, or the programme lead who wants the course, and can proceed on a single purchase order.
Renewal is £4,995 a year, which includes policy updates and a content refresh. The licence renews automatically unless you tell us otherwise 30 days before it ends.

Institutions building a full programme usually start with AI Foundations and Responsible Use, then add a second and third course across separate orders once completion data from the first is in hand.
How it works

Scoping call, 30 minutes.
We establish what you need the course to do, which staff it is for, and where it will sit.

You send us your materials.
Brand assets, your AI policy, your data protection position, any acceptable use guidance, and a named person who can approve the drafts.

We build, four weeks.
The four-week clock starts when your materials arrive, not when the order is signed. You get two rounds of amendments inside that window.

You launch.
We hand over the SCORM or xAPI package. It goes into your LMS and it is yours to run.
We can deliver in three weeks without customisation, but we do not recommend it. The institutional personalisation is what makes staff recognise the course as theirs rather than as another generic e-learning module, and it is the difference between a course that gets completed and one that gets clicked through.
Licence
You receive a non-exclusive, non-transferable licence to use the course internally with your employees for the licence period. WorkSmart-AI retains ownership of the intellectual property, source files, and content. The course cannot be distributed, modified, sold, sublicensed, or made available to third parties without written permission.
The licence renews automatically for further 12-month periods at the current renewal rate, unless either party gives 30 days' written notice.
Common questions
Will it look like ours?
Yes. Your colours, fonts, and logo throughout, with your policies named in the text. Staff should not be able to tell it came from outside the institution.
Can we host it ourselves?
Yes. You get a SCORM or xAPI package for your own LMS. Completion and progress data stays in your systems.
Is there a cap on users?
No. The licence covers every member of staff for the licence period, whether that is 200 people or 20,000.
What if our policy changes?
Minor policy updates are included in the annual renewal. If you expect frequent change, the quarterly policy update service keeps the course current through the year.
Can we edit it ourselves?
Not directly. Amendments come through us, which keeps the content accurate and the accessibility standard intact. Two rounds are included in the build, and further changes can be quoted.
Do you charge VAT?
No. WorkSmart-AI is not VAT registered, so the price you see is the price you are invoiced.
